Guest and Cabin Policies

Welcome to Beavers Bend Luxury Cabin Rentals. We want to thank you for being our guest. It is our priority to provide an affordable, safe, enjoyable, and clean experience while staying with us. We strive to make your stay with us an unforgettable memory that you would share with your family and friends and would recommend us to others. Our policies are developed from having many years of experience in cabin management and it is our goal to be fair to the guest and owners of the cabins. By booking with us you are agreeing to our policies listed below.  Please note, fireplaces are shut off from May 1st – October 1st and will not be operational during this time. We look forward to accommodating you during your stay with us. You must be 25 years of age to rent a cabin with us. We will make exceptions for newlyweds and married couples. We do not allow weddings or events on our properties. We do not allow check ins or check outs on major holidays, you must arrive/depart the day before or day after a major holiday. The exception is Memorial Day, you can depart on Memorial Day, but not check in.

Date Ranges & Rates

The rates are listed at the bottom of each property page on These date ranges and rate are subject to change. The rates can differ depending on where you book through Beavers Bend Luxury Cabin Rentals, Airbnb, or VRBO. If the rate decreases, your rate will not be reduced. We do not increase your rate if the rate increases, so the same policy applies if the rate decreases.

We require a two-night minimum, excluding holidays. During the holidays we require a three-night minimum. These holidays include but are not limited to Oklahoma and Texas Spring Break, Memorial Day, Independence Day, Labor Day, Thanksgiving, Christmas, and the New Year.

Non-Refundable Deposit/Cancellations

On we require a 20% nonrefundable deposit at the time of booking. The nonrefundable deposit is a credit towards your reservation total. The remaining balance is due 14 days before your arrival and will be charged to the card on file. Guests have until 14 days before arrival to cancel, but the deposit will not be refunded. We will allow guests to move the reservation to a different date or cabin, as long as we’re notified 14 days before arrival. The new date has to be in the same calendar year (an exception can be made if the reservation is within the last 2 months of the year or the property is not available for the desired dates) and only 2 changes can be made to a reservation or additional fees will be assessed. Failure to use a reservation within a year and a half of making the reservation can result in cancellation of the reservation and no refunds will be given on the amount paid. You must have a valid credit card on file throughout your stay. Failure to put a valid card on file can result in cancellation and no refunds given. Although we do take ACH payments, you will still be required to put a credit card on file as a backup payment method. After the 14 Days, the total amount of entire reservation is due and is non-refundable. IT WILL NOT BE MOVED, REFUNDED, OR CANCELLED. If you book within 14 days of arriving the entire reservation total is due and is nonrefundable. In order to cancel a reservation, you must call our office at 580-212-0910, and a follow up email will be required.

We always recommend guests purchasing travel insurance. It is available at the time of booking or can be added later on. It cannot be added within 72 hours of arrival date. For more information about what can be refunded and covered during cancellation please call 866-999-4018.

If you book with Airbnb, our cancellation policy is the Super Strict 30 Day. Guests can cancel at least 30 days before check-in and receive a 50% refund of the nightly rate, the cleaning fee, but not the service fee. The Airbnb service fee is not refundable. For more information about the Airbnb cancellation policy please see We will allow guests to move, not cancel, the reservation to a different date or cabin, as long as we’re notified 14 days before arrival. The new date has to be in the same calendar year.

If you book with VRBO, our cancellation policy is the Moderate Policy. Guests that cancel at least 30 days before check-in will get back 100% of the amount they paid. If they cancel between 14 and 30 days before check-in, they’ll get back 50%. Otherwise, guests will not receive a refund. We will allow guests to move, not cancel, the reservation to a different date or cabin, as long as we’re notified 14 days before arrival. The new date has to be in the same calendar year

We are not responsible for inclement weather, high water, or any other situations that occur in Beaver’s Bend State Park, Beaver’s Bend Marina, or surrounding areas near your cabin. These are separate entities and is not a valid reason for cancellations. We offer rental accommodations and are only responsible for our properties.

BBLCR reserves the right to cancel a booking at their full discretion. In cases of double bookings or system errors, we will refund the deposit and fees paid or find you alternate accommodations. Please note, we do not allow weddings or events at the cabins.

Damage Waiver

A non-refundable damage waiver is collected on every reservation. The fee for this is $49.95 on 1-2 bedrooms and $69.95 on 3+ bedrooms. The damage waiver covers accidental damages up to $1000. The credit card used to make the reservation will be held on file until after your departure. When signing the agreement, you are acknowledging that the above damage waiver will be charged to cover unintentional damages up to $1000. Any charge occurring from intentional damages as a result of negligence, vandalism, over occupancy, partying, or excessive cleaning needing to be done after your departure will be charged to the card on file to cover the damages.

Forms of Payment

A major credit/debit card is required to secure your reservation. We accept Visa, Mastercard, American Express, and Discover as well as ACH payments. If you pay by ACH, you will still need to put a credit card on file as a backup payment method. WE DO NOT ACCEPT CHECKS OR CASH. If a refund is issued it can take up to 7 – 10 business days. YOU ARE REQUIRED TO SEND US PROOF OF IDENTITY WITH A VALID ID FOR THE CREDIT CARD USED AS WELL AS THE NAME ON THE RESERVATION BY EMAILING with your confirmation number. Any person that makes a payment on the reservation will also need to email a copy of their ID. You will not get the directions and door code until we receive a copy of your ID and the rental agreement is signed and submitted. You will also receive a text 30 days prior to arrival reminding you to do so. We must have a valid credit card on file throughout your stay or your reservation is subject to cancellation with no refunds given.


Check-in is at 4:00 p.m. CST. Check-out is at 11:00 a.m. CST.

Due to our high standards of cleanliness, cabins may not be ready for check-in promptly at 4:00 p.m. We ask for your patience if this occurs. We have schedules to ensure we maintain them on time. Entry to the cabin is not permitted until the cleaning staff has finished and left the property.

We can offer early check in or late check out if the cabin is not booked the night before on an early check in or the day of on a check out. The fee is $25/hour plus taxes, with the most being 2 hours early or late. Anything more is a full night’s charge. We do not offer early check in or check out on or around the Holidays, including Spring Break.


We provide each cabin with free internet; however, we are not responsible for any issues with the wi-fi, delays, or outages of the internet service not working properly. We will do everything we can by contacting the internet service provider as soon as a problem should arise. Since the cabins are located in a remote area the signal will sometimes vary. The use of the internet is not to be provided for any obscene or inappropriate behavior.

Loss of electricity during your stay could possibly happen and is completely out of our control. Please be patient if or when this occurs. In your cabin book there is the number to call Choctaw Electric to report any outages.

Any of the above issues or outages is not a reason for refunds and Beavers Bend Luxury Cabin Rentals will not be held responsible.

Smoking/Illegal Drugs

All cabins are NON-SMOKING! This includes cigarettes, vaping, and any type of drug. Any evidence of smoking in the cabins will incur a $500 charge to the card provided on file. You are allowed to smoke outside the cabins. We do provide each cabin with a cigarette butt pail, so please do not throw your cigarette butts on the ground. If there are any butts on the ground a fee will be charged to the card provided on file.

We do not allow any illegal drugs on our property. If any evidence of illegal drugs are found it is reported to the authorities with your contact information. Please note that recreational marijuana is still illegal in the state of Oklahoma.

Pet Policy

All the pet-friendly cabins can be found under the pet-friendly cabins tab on

A maximum of two 25 lb. pets are allowed in pet-friendly cabins. There is a pet fee of $50-$75 (depending on the cabin) per pet that will be added to the reservation. If you do not pay the pet fee and bring a pet, there is a $200 fine. We do not charge for service animals, but if there is damage, excess pet hair, or pet feces or urine found, you will be charged a fee.

For Pet-Friendly Cabins: Please brush and de-flea your pet before arrival. Pets must be crated at night and while you are away from the cabin. Pets are not allowed on furniture or in the beds. If hair is found in or on bedding or furniture, an additional fee will be assessed. Excess pet hair fines range from $25 – $50 depending on the amount. Feces or urine from your pet is a fine of $50 – $100 depending on the severity. Damages will be assessed on a case by case basis. We always take pictures and will provide them to you as proof of what we encounter.

Any damages or extra cleaning incurred due to your pets will be charged to the card provided on file. Damages caused by the pet are not covered by the damage waiver.

There will be a $200 Fine for bringing your pet into a non-pet friendly cabin without prior approval or failing to report you have a pet, even in a pet-friendly cabin, or not paying the pet fee. NO EXCEPTIONS

Loud Noises/Fireworks/Campers and RV’s – NOT ALLOWED

There is a quiet time of 11:00 p.m. in every cabin. We want you to have fun and make the most of your visit, but we ask that you be respectful of other guests that may be in close proximity to your cabin. Absolutely no firearms are allowed on the property. We do not allow weddings or events on/at our properties.

Fireworks are 100% prohibited at the cabins. Due to the environment of the wooded areas it is a fire hazard to allow such activity at the cabins. These cabins are located on or near a state park, so fireworks are absolutely prohibited.
Violations of these policies will result in the guest being removed from the property without any refund of reservation fees. Guest could also receive fines from park rangers.
We do not allow campers or RV’s on site with our cabins. If found, we will ask you to move them immediately and charge you a daily rate for any electricity used, as well as possibly have you depart the property early with no refund given.


There is a one-time cleaning fee per cabin that pays for the indoor and outdoor cleaning of each cabin after your departure. You will be responsible for the cleaning during your stay and for leaving the cabin in good condition at check-out.

Upon your departure, we request you to do the following:

  • Load and start the dishwasher if the cabin has one, if it does not, please hand wash any used dishes.
  • Leave the beds unmade and pile the towels in the laundry room (or the bathroom if there is no laundry room.)
  • Bag all trash and put it in the outside green trash bins labeled CTS.
  • Adjust the thermostat accordingly: 65°F in the winter months and 75°F in the summer.
  • Lock all doors and windows, and make sure the cabin is secure.

Please keep in mind that you are staying in privately owned cabins, so please treat it as you would want someone to treat you home. Please leave the cabin as close to the way it was presented when you arrived as possible.
If accommodations are left messy* (such as unwashed dishes, stains on bedding, furniture, carpets, or elsewhere, or trash left) then an additional cleaning fee will be charged to the card provided on file.

The cabins are inventoried and all furnishings indoors and outdoors are checked for damages before you arrive. Any damages or items found missing or broken after your departure will be charged accordingly to the card provided on file. If you notice anything we may have the missed, please notify us immediately at the time of your arrival. This allows us to correct it, and ensure you are able to enjoy your stay at the fullest extent.

Linens and bath towels are provided for you. Do not remove towels from the property. We suggest that you bring beach towels for any water activities. Any lost or damaged linens will be charged to your card provided on file.

*The cleaning fee is for a regular clean of your cabin upon your departure. If you leave the cabin in such a way that causes extra time, additional fees will be assessed. If any bodily fluids are found, such as urine, feces, or vomit, there will be an automatic fee of $100 paid to the cleaning crew for having to deal with hazardous waste.  Leaving excessive trash, food, or dirty dishes out is a fine of $25 – $100, depending on the severity. Damages are assessed on a case by case basis. We always provide photos as proof of what we encounter.


We do have critters that roam the areas that like to rummage, so we are asking that when you put your trash in the outside cans to make sure that the lids are secure.

Damages/Missing or Left Items

Any personal items that are left behind in the cabin will be collected by the cleaning staff and brought to the office. We will then contact you to give you the option of returning the property at your expense or throwing the items away. There is a standard fee of $50 to return any item(s).

Any missing items will be charged to the card provided for a complete set at the rate of:
· Horseshoes – $25 Each

· Corn Hole Bags – $25

· Pool Table Balls – $25 Each

· Pool Sticks – $15 and up

We will charge a $25 fee to the card provided on file if any furniture is moved and damages are done to the floors.

Hot Tubs

All of our hot tubs are drained and sanitized after each guest’s departure. The hot tub covers are checked immediately before your check-in and immediately after your check-out. If the cover is broken during your stay, a replacement charge of up to $500 will be charged to the card provided on file. Do not sit, stand, or allow children to play on top of the hot tub covers. Do not allow small children in or near the hot tub. Children under 14 ARE NOT ALLOWED IN THE HOT TUB and those under 18 must never be left unattended while in the hot tub. Do not put soaps or oils in the hot tub. Do not sit on the beds or furniture in wet bathing suits from the hot tub. Hot tubs have chemicals to sanitize that can bleach bedding. Any cost to replace bedding or towels will be charged to the card provided on file. Any extra cleaning fees will be charged to the card provided on file. The card on file will be charged a $25 service fee for any service calls resulting from any excessive pushing of buttons that puts the hot tub in economy mode. If you have any issues with the hot tub, please contact the office immediately.  If the hot tub is left excessively dirty or dirt, rocks, or sand has been put in the hot tub, an additional cleaning fee of $50 will be assessed. If we find vomit or feces in the hot tub, a hazardous waste fee of $100 will be charged and paid to the cleaner for having to deal with the issue.


Please DO NOT move the logs for any reason. DO NOT put real wood or paper on logs. Damage charges will be applied if the logs are moved or if other objects are placed on logs. There are directions for each fireplace in the cabin manual explaining how to start and use. The pilot light is lit before your arrival to make it easier to use. If the pilot light has gone out please use the instructions provided to relight the pilot light. Fireplaces are shut off from May 1st – October 1st and will be inoperable during this time. We will not turn them back on during this time because the gas company will have to come out and they charge additional fees to return the fireplace to working order.

Appliances breaking/malfunctioning or plumbing and electrical issues can occur as with any home. If any issues come up, please contact the office via text at 580-260-2624 or call immediately at 580-212-0910. Please be patient and understanding. We as the Management company will do our best by contacting the right service company to remedy the situation during your stay.
Beavers Bend Luxury Cabin Rentals is not responsible for the inconvenience or the arrival of these service people and will not refund any fees due to these circumstances arising. If you do not allow service personnel to come out, please do not ask for a refund. These issues are out of our control, and we do try to remedy them the best we can in a timely manner.

Electronic Equipment

Do not unhook or disconnect any electronic device for video games or any other devices. There are HDMI slots that video games or any other devices can be connected to. Our cleaners check all electronics before you arrive to ensure that they are in working order. If a service call is needed for tampering with the electronics, then we will charge the card provided on file a $75 fee.

Privacy Policy

Beavers Bend Luxury Cabin Rentals does not share your information, phone number, address, or email with any 3rd party, including owners of the rental property, marketing or advertising firms, or email lists. Your reservation information is kept private between the guest and Beavers Bend Luxury Cabin Rentals, LLC.


It is expressly understood and agreed that Beavers Bend Luxury Cabin Rentals and owner of said premises, shall not be liable for any damages or injuries to the guest, guest’s guests or their family, or to their family’s or guest property from whatever cause arising from occupancy of said premises by guest and family of guests. It is further understood and agreed that Beavers Bend Luxury Cabin Rentals and owner or owner’s agent to mail or ship any items left at the property back to guest at the guest sole expense. The guest listed on the reservation is responsible for any damages caused by themselves or their guests during the stay. If any guest in the primary guest’s party causes any damages to themselves or the property, the primary guest listed on the reservation will be held liable for any costs incurred by damages to the cabin or cabin property, and the credit card on file will be used to cover any additional expenses arising from damages or negligence caused by the primary guest or guests in their party. You understand that you use the amenities such as exercise equipment, pickleball, horseshoes, corn hole, and any other items at your own risk and the owner or manager of the property is not liable for any injury or damages caused by regular or improper use.

By booking this cabin, you are stating that you have read the reservation policies and agree to honor these policies, and even though the credit card is not present, you agree to pay with the credit card on file for any damages or extra cleaning charges that occur during your stay, and any charges pertaining to the cancellation policy that are incurred due to your inability to come during your reserved time, as stated in the policies. You will receive an email directly after making this reservation asking for a photo ID or driver’s license matching the name on the reservation and the name of the person whose credit card is on file from Any person that makes a payment on this reservation will also need to provide a copy of their ID.
